Welcome to the University of Oklahoma College of Dentistry (COD), and congratulations on your new position! This webpage is designed to make your transition to the COD and HSC as smooth as possible. There is a wealth of information and resources on these tabs, so please take your time in familiarizing yourself. If you have questions before or after your start date that are not answered here, please call the main number for the College of Dentistry's Human Resources department at (405) 271-5444, or email us.

Before your first day:

  •   View our OUHSC Online Orientation 
  •   Complete the new hire paperwork that was emailed to you
  •   Set up your OU network account and Duo Two-Factor Authentication via instructions provided in emails
  •   Gather documents to bring for your I9; see list of acceptable documents  
  •   Plan your commute
  •   Speak with your hiring manager about your schedule for the first week

Faculty, in addition to the above items, please email the following documents: 

  • Current Curriculum Vita
  • Oklahoma Dental License
  • State Drug License
  • Federal DEA License
  • NPI Number
  • CPR Card
  • Certificate of Professional Liability Insurance (part-time faculty) 

Your first day will consist of New Employee Onboarding with the College of Dentistry Human Resources (COD-HR)  department and Departmental Onboarding with your supervisor and hiring manager. 

COD-HR will assist you in completing the following:

  • Understand the COD Mission, Vision, and Values
  • Register for myOULive - HSC
  • Electroniclly sign your I9 
  • Registerand receive your parking permit
  • College of Dentistry building tour
  • Brief campus tour
  • Schedule your appointment with Employee Health (if required)
  • Sign up for the Emergency Communication System (ECS)
  • Learn how to use TAL for reporting your time and absences
  • Completing your routing form
  • Review and acknowledge the Staff Handbook(staff only)
  • Review and acknowledge the Faculty Handbook(faculty only)
  • Review and acknowledge the College of Dentistry Faculty Bylaws (faculty only)

Your department will assist you in the following:

  • Introduction to coworkers
  • Discuss departmental standards and procedures
  • Set-up workstation to your comfort
  • Set-up phone and voicemail
  • Schedule job related training

Within your first week:

  •   Complete online required training

Employee Assistance Program (EAP)

The Employee Assistance Program (EAP) provides professional and confidential help to faculty, staff, and their family members who are facing challenges. Most people have had some experience with the kind of problems that make it difficult to think about anything else. These can be problems caused by alcoholism, drug abuse, financial problems, marriage or family concerns, worries about health, or difficulties at work. These are all good reasons to contact the EAP. Consider the EAP your first stop in seeking resources to tackle life's challenges. The EAP includes phone and web access to counselors, free face-to-face consultations, legal and financial resources, and much more.

Resources from the Bird Library 

The Robert M. Bird Health Sciences Library serves the Health Sciences Center and health professionals across the state, providing mediated searching, journal photocopying and access to the largest collection of medical books in Oklahoma


Staff Senate Opportunities

The OUHSC Staff Senate is composed of members of the OUHSC Staff from designated groups on campus. Senators are elected annually from the constituents of their group.


Faculty Senate Opportunities

The University of Oklahoma Health Sciences Center Faculty Senate is composed of members of the Regular Faculty of the Health Sciences Center. Each college on the campus is represented in the Senate according to a formula defined in the Charter of the Regular Faculty and Faculty Senate. Election of members for three-year terms is by vote of the Regular Faculty of each college.

Smile Back Award

The Smile Back Award recognizes the outstanding qualities and contributions of College of Dentistry employees who embody and promote the College of Dentistry's core values of innovation, excellence, professionalism, integrity, compassion, and diversity.  Noteworthy employees exhibit a positive, professional attitude, while providing exemplary service in their daily job duties, and delivery of excellent service to all customers - our patients, students, faculty, residents and fellow staff.



The recipient of the Smile Back Award will receive a monetary award of $250.  The winner will be announced via email to College of Dentistry faculty, staff, students, and residents.  The monetary award will appear on the recipient’s pay statement the first pay period following the announcement of the winner.  The award will be given at least four times per year.


To be eligible for the Smile Back Award, an employee must be in a staff position within the College of Dentistry for at least one year.  Staff positions include exempt, non-exempt, full-time, and part-time.  A nomination form must be completed for the nominee, and the nominee’s supervisor must support the nomination.  Nominations not selected for the award will be held and reconsidered each month for one year from the date received.  Employees who have retired or have resigned from the College of Dentistry since being nominated are not eligible to receive the award.  A nominee must not have received the award in the past year. 


The Smile Back Award Committee will consist of five voting members, and two ex-officio members.  The two ex-officio members will serve as administrators of the committee.  The five committee members will consist of a combination of an exempt employee, a non-exempt employee, a faculty member, and a supervisor.

Nomination Criteria

College of Dentistry faculty, staff, students and residents may nominate a staff employee by completing the appropriate nomination form found online.  The nomination form is sent to the committee administrators who will then contact the employee’s supervisor for support of the employee’s nomination.  Once the supervisor approves of the employee’s nomination, a score sheet will be sent to the committee members for voting; voting will be done anonymously and names will be removed from nomination forms.

A scoring model will be used by the Smile Back Award Committee based upon the following criteria.  An employee does not need to meet all below requirements to receive the award, however, specific examples cited on the nomination form will help the committee fully evaluate the employee’s attributes.

  • Does the employee have a reliable attendance record?
  • Does the employee consistently “go the extra mile” without being asked?
  • Is the employee cooperative, compassionate, and friendly to fellow employees on a regular basis?
  • Does the employee have a better-than-average ability to work under pressure?
  • Does the employee exemplify excellent customer service skills?
  • Does the employee fill in when the unit is under-staffed?
  • Does the employee contribute to an exceptionally supportive, team-oriented environment?
  • Does the employee possess other qualities that would make them deserving of such an award?


COD Marketplace

As an employee of the COD, each anniversary you will receive a $50 credit to shop for OU College of Dentistry apparel. This is just a small token of the appreciation to you for your loyalty to the college. The credit is applied to your account only AFTER you have received the email from COD-HR.
